Privacy agreement with NOCL and Patients

The  Norfolk Osteopathic Clinics provide osteopathic treatment for patients with many health conditions indicated for osteopathic care. The practice also offers homeopathy.

When you provide your personal details to the Clinics they are stored and processed for 4 reasons.

The terms in  in the bold text below are the key relevant terms from the Data Protection Act 2018, including the General Data Protection Regulation (GDPR);

  1. We collect personal information about your health to provide you with the best possible care. Your request for treatment and our agreement to provide that care constitutes a contract between us. You can, refuse to provide the information, but if you were to do that, we would be unable to provide treatment. You will be asked to agree to consent to allow us to collect and store your personal data.
  2. There is a ‘Legitimate Interest’ in collecting your information, which allows us do our job effectively and safely, without this we cannot safely treat you.
  3. Contact details, provided by you: telephone numbers, email addresses, postal addresses may be used to remind you of future appointments and provide reports or other information concerning your treatment. This constitutes ‘Legitimate Interest’, but it is your legitimate interest.
  4. With your consent we may occasionally send you general health information in the form of articles, advice or newsletters(as we did with Corona virus and Covid-19 information). You may withdraw this consent at any time by informing us.
  5. We have a legal obligationto retain your records for 8 years after your most recent appointment as an adult (or age 25 when seen as a child), after this period you can ask us to delete your records if you request this.

Contact information is stored electronically on our office computers, which are password protected. Your medical records are stored on paper and now on computer via an encrypted layered password secured system. The offices are always securely locked.

Your data is always held securely and is not shared with anyone not involved in your treatment without your consent,  for data storage purposes it is handled staff who have all signed an integrity and confidentiality agreement.

You have the right to see what personal data of yours we hold, and you can also ask us to correct any factual errors.

We want you to be confident that we treat your personal data responsibly, and that we do everything we can to make sure that only the people who can access that data have a genuine need to do so. In the event that you wish to make a complaint about how your personal data has been processed by Norfolk Osteopathic Clinics Ltd  you have the right to complain to us. If you do not get a response within 30 days, you can complain to the Information Commissioner’s Office.
